Self-Service Portal FAQ
Common questions about the departing-employee portal
Why does a departing employee need their own portal?
Because the tasks only they can finish are the ones that hold a case open. Returning a laptop, signing an exit document and confirming a forwarding address all need the person who is leaving, and they are much harder to reach once they have gone. An offboarding that stalls on those is one where equipment stays out and the case cannot be closed or evidenced.
How does the employee sign in if their accounts are already revoked?
Not with an account or a password. HR emails them a private link at their personal address, never the work mailbox, which usually stops working on the last day and is often handed to a manager. Before anything opens, they enter a one-time code, sent by text to their personal mobile when SMS is set up and otherwise by email. With SMS on, the link and the code arrive on different channels, so getting in takes both the mailbox and the phone. The link is valid for seven days and only ever opens that one offboarding. The portal and SMS are on the Team plan and up.
What stops that link being forwarded or misused?
A forwarded link is not enough on its own: before anything opens, the portal asks for a one-time code sent to the employee's own phone or personal email, and ten wrong codes lock the link. A portal session ends after 30 minutes without activity or 12 hours. The link is scoped to a single offboarding and grants nothing else. It expires after seven days, and HR can revoke it at any time from the employee's record, which stops it working immediately and records who revoked it. Sending a new link replaces the old one. Tasks assigned to HR or IT cannot be completed from the portal even by the person holding the link; it only ever exposes the departing employee's own items.
What can the employee actually do there?
Tick off the tasks assigned to them, request an equipment pickup by choosing a date, a morning or afternoon slot and an address (PurpletGo records the request for your team to arrange; it does not book a courier), read and acknowledge their benefits information, request a reference, join the alumni network, and message HR directly. Everything they do is written to the audit log against the offboarding, with the portal recorded as the source.
Does it work in languages other than English?
Yes. The portal is available in English, German, French and Spanish, including the built-in checklist task names, and it follows the language of the employee's browser. The benefits section is jurisdiction-aware: if your organisation has not selected one, it shows neutral guidance that points the employee to HR rather than stating rules that may not apply where they work.
